Accommodation Terms & Conditions for Kilconquhar Castle Estate


Introduction


The Terms and Conditions apply to all lodging and special event bookings at Kilconquhar Castle Estate. These are the conditions under which we will reserve a room for you at the Kilconquhar Castle Estate Resort. Any reservations made with Kilconquhar Castle through our website or by phone are subject to our terms and conditions.


Bookings


The availability of hotel rooms and self-catering cottages at Kilconquhar Castle Estate is subject to our terms and conditions. The Reservations Office will confirm all reservations in writing via email or mail. Visitors without proper confirmation may be denied access.


Check-in and Check-out Times


The check-in and check-out times will be listed on your confirmation. Guests must vacate their room by the time specified on their booking confirmation. Failure to comply will result in a fee for late departure.


On the day of arrival, guests may use the facilities before their check-in time, and on the day of departure, they may use the facilities after their check-out time.


Charges


Visitors are responsible for paying for any damages or breakages they incur during their stay.


It is a provision of your rental agreement that you assume full responsibility for any accidental damage or loss to the rented property during your stay. We will require a credit or debit card upon arrival. We reserve the right to get card authorization.


Authorization is not payment, and the total amount of your bill will be charged to your credit card(s) upon departure.


Before arrival or upon arrival, guests are required to submit a registration form, which requires a credit or debit card. Visitors will not be able to check into any rooms or properties prior to the completion of registration.


Payment, Cancellations, & Amendments:


Before booking a reservation, please see the reservation policies. This information is presented in the rate information on our website and on the confirmation for direct bookings; for bookings made via a third party, it appears on the confirmation issued by the third party.


Cancellations can only be accepted in writing.


Disturbance


Kilconquhar Castle has the right to ask a guest to leave if they cause a disturbance, upsets other guests or employees, or behaves inappropriately. Visitors who are asked to leave due to inappropriate behaviour are not eligible for a reimbursement.


Smoking


Smoking is absolutely prohibited in the Hotel, Leisure Club, and all other resort public areas. Smoking in Hotel rooms or Self-Catering lodgings will result in a £150 deep cleaning fee being added to the guest's bill.


Valuables


Self-catering cottages are not equipped with safes and there are no secure facilities with the hotel. All property is the responsibility of the guest.


Lost Property


If you seek the return of missing property, you must arrange for a courier to collect it. Owing to the remote location of the Estate, we are unable to return products via royal mail. Please remember that after we've handed off your items to the courier, they fall under their care. We recommend that you pay for tracking and insurance if you are returning valuable things.


Claims and Complaints


Any complaint or claim should be immediately addressed to the Reception team or, after hours, to the Emergency telephone line, who should be able to settle it to your satisfaction.


If you fail to notify us of an issue as soon as it develops, we will be unable to assist you. 


If you fail to report a problem when it occurs, we will be unable to assist you, and we do not offer retroactive discounts. If we are unable to provide a satisfactory solution to your problem during your stay and you choose to leave, we will compensate you for the nights you did not use.


If you are still unhappy with the outcome of your complaint, please submit a letter to The Director, Kilconquhar Castle Estate, Kilconquhar, Fife KY9 1EZ.
